How to insert images into a Word Document Table – MS Word Tutorial

This tutorial provides a step-by-step guide on how to insert images into a table in Microsoft Word. In this tutorial, we will explore how to insert images into a table in Microsoft Word. This process is useful for creating visually appealing documents that showcase images, whether for personal use or professional presentations. Let’s get started!

Step 1: Downloading Images

Before we begin, you will need some images to work with. For this tutorial, we will use images downloaded from Unsplash. Here’s how to do it:

  1. Open your web browser and navigate to Unsplash.
  2. Search for images that you would like to use.
  3. Download the images by clicking on each link and selecting the free download button.
  4. Save the images to a directory on your computer. For this tutorial, we will use 12 images.

You can use your own personal photographs or images from a business event if you prefer.

Step 2: Setting Up Your Word Document

  1. Open Microsoft Word and create a new blank document.
  2. Save your document by going to File > Save As. Name your document (e.g., “Amazing Places”) and save it to your desktop.
  3. Adjust the margins by going to Layout > Margins > Custom Margins. Set all margins (top, left, right, bottom) to 1 inch and click OK.

Step 3: Adding a Title

  1. Center your title by clicking the center alignment button.
  2. Type the title of your document (e.g., “Some Amazing Places”) and change the font to Arial Black. Increase the font size as desired.
  3. Press the Enter key to move to the next line and reset the font to normal.

Step 4: Inserting a Table

  1. Insert a table by going to Insert > Table and selecting a 3-column layout.
  2. To add more rows, click in the last cell of the table and press the Tab key until you have enough rows for your images.

Step 5: Inserting Images into the Table

  1. Click on the first cell where you want to insert an image.
  2. Go to Insert > Pictures and select the first image from your saved folder.
  3. Resize the image by holding down the Shift key and dragging the bottom right corner to maintain the aspect ratio. Ensure the image does not push the middle column.
  4. Copy the image by pressing Ctrl + C and paste it into the other cells using Ctrl + V.
  5. For each image, double-click on it, select Change Picture from File, and choose the next image in your folder. Repeat this for all images.

Step 6: Formatting the Images

  1. If some images appear too small, you can adjust their size by dragging the corners slightly.
  2. To add titles to each image, click in the cell below the image and type a description (e.g., “Blue Sky and Mountains”).
  3. Center the titles by selecting the text and using the center alignment option.

Step 7: Removing Table Borders

  1. To make the table invisible, select the entire table by clicking on the table handle.
  2. Go to Home > Borders and select No Border.

Step 8: Adding a Footer (Optional)

  1. Double-click in the footer area of the document to add any additional information, such as your website address or event details.

Step 9: Saving and Exporting the Document

  1. Save your document again to ensure all changes are kept.
  2. To export your document as a PDF, go to File > Save As and select PDF as the file format. Click Save.
